Give Every Front Desk One Prioritized List

Your team already has a fax inbox, a recall list, a referral queue and a cancellation report. Nuvory turns them into one ranked list per person, built every night from your EHR.

How does revenue leakage intelligence help practice administrators?

Revenue leakage intelligence gives an administrator one view of every patient who needs follow-up and one ranked list for each staff member. Nuvory reads referrals, orders, recalls and appointments from the EHR each night, removes patients already booked, ranks the rest by estimated value, urgency and confidence, and shows what was completed, so administrators can run huddles and report up without new systems.

What problem does a practice administrator actually have?

Too many lists and no way to know which one matters most today. The referral coordinator works the fax inbox. Schedulers work cancellations when they remember. The recall list is long, out of date and full of patients who are already booked.

Meanwhile leadership asks why procedure volume is flat, and the honest answer is that nobody can see which patients slipped.

  • Scattered queues Referrals, recalls, orders and cancellations live in different places.
  • Stale lists Recall lists include patients who already have appointments.
  • Duplicate calls Two staff call the same patient about two different things.
  • No clear numbers It is hard to show leadership what the team accomplished.

How does Nuvory become the front desk work queue?

Nuvory builds one front desk work queue per person, every night. It reads referrals, orders, recalls and appointments, checks each against the schedule, and drops patients who are already booked.

Each patient appears once, with every open item attached: a referral not seen, an overdue recall, a cancelled procedure. One person, one task. The channel is chosen too: a call, the patient's upcoming visit, or a prompt in the EHR where available.

What does a staff member see?

Name, reason, how long it has been open, estimated value and the suggested next step. Staff can call from Nuvory with verified practice numbers and book in the EHR as usual.

What happens after the call?

Nuvory checks the schedule and completed care on its next nightly run, and closes items when care is completed. Staff can close an order as done elsewhere with a reason.

What does a day look like with Nuvory?

A simple patient follow-up workflow that fits existing routines.

  1. MorningNuvory has already run overnight. Each person opens their ranked list.
  2. HuddleThe administrator reviews open items by location and assigns any overflow.
  3. Check-inPatients on today's schedule with open items are flagged so the front desk can raise them in person.
  4. CallsStaff work top-ranked patients first and book in the EHR.
  5. End of dayOutcomes are logged; the next nightly run verifies what was booked or completed.

Who on your team uses it?

  • Front desk Sees today's patients with open items at check-in.
  • Schedulers Work cancellations, procedures and recalls.
  • Referral coordinators Work inbound referrals and track consult notes going back.
  • MAs and nurses Review care-management candidates with clinicians where your practice uses them.
  • Practice administrator Assigns work, runs huddles and reports up.

How do you improve staff productivity without adding systems?

By removing work, not adding it. The list skips patients already booked, combines a patient's open items into one call, and puts the highest-value items first. Staff spend less time searching and fewer calls on the wrong patients.

There is no new scheduling system to learn. Staff keep booking in the EHR. If your practice already uses a texting vendor or phone system, it can be connected.

What should you report to leadership?

Practice manager reporting should be short and consistent. Recovered value is care completed after detection against your baseline, which is correlation with outreach, not proof of cause.

MeasureWhy leadership cares
Open items by type and ageShows the size of the backlog
Referral-to-visit conversionShows whether referrals become patients
Cancelled procedures rebookedShows recovered slots
Recall complianceShows follow-through on surveillance
Items worked and completed per staff memberShows team effort and results
Recovered value vs baselineConnects the work to completed care

How does rollout work for a practice?

The timeline is confirmed during your demo and discovery.

  1. Approve the EHR connectionYour EHR admin approves it. See integrations.
  2. HealthArc sets upAbout two years of history is loaded, locations and codes mapped, and a baseline built.
  3. Clinical sign-offA clinical reviewer signs off each rule after spot-checking real patients.
  4. Assign rolesDecide who works which list, by role and location.
  5. Start the huddleRun daily from the ranked list.

What should a practice administrator evaluate?

  • Will my staff trust the list? It must skip booked patients and close completed items.
  • Is it one list or many? One patient, one task, one person.
  • Do we keep our EHR workflow? Scheduling should stay in the EHR.
  • Can I report results simply? A few measures, against a baseline.
  • Does it fit our specialty? See gastroenterology, cardiology and other specialties.

Questions, answered

More in our FAQ, or ask our team.

Is Nuvory a scheduling system?

No. Staff keep scheduling in the EHR. Nuvory decides who should be on the list and in what order, then confirms completion on its nightly run.

Will staff call patients who are already booked?

Nuvory checks for a booked appointment inside the window before flagging a patient. If one exists, the patient is skipped. If it is cancelled later, the patient returns to the list.

Can I assign lists by person or location?

Yes. Role-based access means each person sees the features and locations their role needs.

Does it replace our reminder or texting tool?

No. Reminder and outreach tools execute work; Nuvory identifies the work that should happen. A texting vendor can be connected.

What does it cost per provider?

Starter is $149 per provider per month for Recall Intelligence. Growth is $299 and adds referral, procedure, scheduling, care management and opportunity modules. Both support self sign-up. See pricing.

What EHRs work with Nuvory?

athenahealth is live today. Epic, eClinicalWorks, ModMed, NextGen, AdvancedMD, Practice Fusion, Veradigm and Elation Health are supported, with scope confirmed during discovery.
