What is healthcare revenue leakage software?

Healthcare revenue leakage software finds care a practice planned to deliver but never did: referrals never scheduled, orders never completed, recalls past due and cancellations never rebooked. Nuvory reads your EHR and scheduling data every night, matches each expected step to what actually happened, and ranks the open opportunities by estimated value, urgency and confidence so staff know who to contact first.

How is revenue leakage different from revenue cycle leakage?

Clinical revenue leakage is revenue lost because care never happened. A patient was referred, ordered a test, or told to come back in six months, and the next step never took place. No claim was filed, so nothing was denied. The visit simply does not exist.

That makes it different from revenue-cycle loss. Denials, underpayments, coding errors and slow collections happen after care is delivered, and your billing team and RCM tools already work them. Nuvory is not an RCM product. It looks earlier in the journey, at the patients who never reached the exam room or the procedure suite. Our comparison of clinical and revenue cycle leakage goes deeper.

For a specialty practice, revenue leakage is rarely one big hole. It is many small gaps: a fax that sat for two weeks, a cancelled colonoscopy with no new date, a heart failure patient past their follow-up. Each one is a patient who still needs care.

See Where Your Practice Is Losing Revenue

We will walk through how Nuvory would map leakage across your referrals, orders, recalls and schedule, using your own workflows as the example.

Why does revenue leak between steps of care?

Revenue leaks because each step of care lives in a different place and no one owns the gap between them. Referrals arrive by EHR order and by fax. Orders sit in one part of the chart, recalls in another, care-plan intervals in a third. Completed care shows up in encounters, procedures and claims.

Front-desk teams work from the schedule, which shows who is coming in. Leakage is the patients who are not. Reminder and outreach tools help patients keep appointments that exist, but they cannot act on an appointment that was never made. So most groups only notice leakage when a provider asks why a patient never came back.

Where does revenue leak across the patient journey?

Revenue leaks at eight common points, from the first referral to long-term care. They fall into the five stages of the patient journey: referral, visit, procedure, follow-up and longitudinal care. Each has its own cause and its own signal in the data.

Referral

Referred patients are never contacted, or contacted and never seen. Faxes wait in an inbox, referrals miss insurance details, and no one follows up when the patient does not answer. The signal is a referral with no appointment after the contact window, which is 7 days by default. Referral Intelligence tracks each one until the consult note goes back.

Scheduling

Patients cancel or no-show and are never rebooked. The slot gets filled, so the schedule looks healthy while the patient drops out. The signal is a cancellation or no-show with no new booking for the same service. Scheduling Intelligence flags cancelled procedures after 2 days and office visits after 7.

Consult

The new-patient consult happens, but the plan does not move forward. The provider recommends a procedure or a return visit, and the checkout instruction never becomes a booking. The signal is a follow-up requested at checkout with nothing on the schedule.

Procedure

A colonoscopy, ablation or injection is recommended or scheduled, then stalls on prior authorization, prep questions or a cancellation. The signal is a procedure order or cancelled case with no completed procedure. Procedure recovery shows which ones are still open.

Diagnostic order

Echoes, stress tests, sleep studies, PFTs and imaging are ordered and never completed, or completed somewhere else. The signal is an open order past its expected window with no matching completed test. Nuvory tracks unresolved orders and lets staff close one as done elsewhere with a reason.

Recall

Surveillance and interval care slips: the surveillance colonoscopy, echo or CKD visit at the interval the provider set. The signal is a recall or care-plan interval past due with no visit or booking inside the window. Patient recall software covers this stage.

Follow-up

Post-procedure and post-op visits, results visits and medication checks go unbooked. The signal is a completed procedure with no return visit, or a no-show at follow-up that never rebooked. Scheduling and recall rules catch these together.

Longitudinal care

Patients who may qualify for CCM, PCM, APCM, RPM, RTM or BHI are never reviewed. The signal is qualifying conditions in the problem list with no current enrollment. Care Management Intelligence routes each candidate to a clinician; nothing is enrolled without clinician approval and patient consent.

How does healthcare revenue leakage software find lost care?

Nuvory joins each expected step of care to what actually happened, every night, and turns the gaps into a ranked work queue.

  1. ConnectYour administrator approves the EHR connection. HealthArc loads about two years of history and maps your locations and local codes.
  2. BaselineNuvory measures how often each step completed in the past, by location and service line, so you know your starting point.
  3. Sign offEach rule starts from a HealthArc template. A clinical reviewer at your practice spot-checks real patients and signs off before it goes live.
  4. DetectEvery night, Nuvory checks referrals, orders, recalls and appointments against completed visits and procedures, and flags what is past its window.
  5. PrioritizePatient Opportunity Intelligence combines each patient's open items and ranks them by estimated value, urgency and confidence.
  6. ActOne person gets one task: a call from Nuvory, a prompt at an upcoming visit or a prompt in the EHR. Staff book in the EHR as usual.
  7. VerifyItems close when the visit or procedure is completed, where data is available. Recovered value is reported against your baseline.

What data does revenue leakage detection use?

Revenue leakage detection uses data you already have. Claims and HIE feeds are optional, on the Enterprise plan, and make completion matching more precise.

Who uses healthcare revenue leakage software?

Different roles use the same data at different levels of detail.

Schedulers and referral coordinators

Work one ranked queue each morning instead of building call lists by hand.

Practice administrators

See open leakage by location and know which queue needs staff.

COOs and service-line leaders

Track referral conversion, order completion and recall compliance against the baseline.

Revenue cycle leaders

Add a view of care that never reached billing, alongside denial and A/R work.

Clinical leaders

Sign off the rules and review care management candidates.

What outcomes can you measure?

You can measure how much care was completed after Nuvory flagged it, compared with your own baseline. Nuvory reports this as recovered value and is clear that it shows correlation with outreach, not proof of cause.

  • Open opportunity value Estimated value of open items by location, service line and stage.
  • Completion after detection Visits and procedures completed after the patient was flagged.
  • Conversion by stage Referral-to-visit, order-to-procedure and recall completion over time.
  • Time to action Days from flag to first contact and to booked appointment.

How does Nuvory work with your EHR and existing tools?

Nuvory sits on top of your EHR; it does not replace it. athenahealth is live, connecting through FHIR R4 and bulk data APIs and opening inside the athenaOne chart and schedule as a SMART on FHIR app. Epic, eClinicalWorks, ModMed, NextGen, AdvancedMD, Practice Fusion, Veradigm and Elation Health are supported through FHIR R4 and, where the EHR supports it, bulk export and SMART on FHIR, with scope confirmed during discovery.

Your RCM, reminder and texting tools keep doing their jobs. Nuvory finds the work that should happen; those tools and your staff carry it out. As revenue recovery software, it points at care not yet delivered, not claims already filed.

What should you evaluate in revenue leakage software?

Look for software that covers every stage of specialty practice revenue leakage, not just one queue.

  • Coverage across stages Referrals, scheduling, orders, recalls and care management in one view.
  • Booked-patient suppression Patients already scheduled should never appear on a call list.
  • Clinical sign-off Rules your clinicians approve, not a vendor's defaults.
  • Honest measurement A baseline and recovered value reported as correlation, not inflated attribution.
  • Security HIPAA, a BAA, a SOC 2 Type II report on HealthArc's platform and audited patient views. See security.

Questions, answered

More in our FAQ, or ask our team.

Is Nuvory a revenue cycle management tool?

No. RCM tools work denials, coding and collections after care is delivered. Nuvory finds clinical revenue leakage, meaning care that never happened, such as referrals never scheduled and orders never completed. The two work side by side.

What is the difference between revenue leakage and missed charges?

A missed charge is care delivered but not billed. Revenue leakage is care that was never delivered because the patient dropped out between steps. Nuvory focuses on the second.

How does Nuvory avoid flagging patients who are already booked?

Before flagging, it checks for a booked appointment for the same service inside the window. If one exists, the patient is skipped. If that appointment is cancelled, the patient comes back on the list.

Can Nuvory promise a specific amount of recovered revenue?

No. Nuvory identifies potential revenue opportunities based on available data and tracks care completed after detection. Results depend on your team's follow-up and your patients' choices, and clinicians make every clinical decision.

Which plan includes revenue leakage across every stage?

Growth, at $299 per provider per month, includes Referral, Procedure, Care Management, Scheduling and Opportunity Intelligence. Starter covers recalls. Enterprise adds Network Intelligence and multi-EHR scope. See pricing.

Which leakage types can Nuvory find?

Referrals never scheduled or seen, cancellations and no-shows not rebooked, consult plans that never became a booking, procedure and diagnostic orders never completed, recalls past due, missed follow-up visits and patients who may qualify for care management but were never reviewed. Each is matched against completed care before it is flagged.
