What is referral leakage software?

Referral leakage software finds inbound referrals that never turn into a completed visit. Nuvory matches each referral from EHR orders and filed faxes to scheduling activity and completed encounters, flags referrals with no contact after 7 days or no visit after 14 days, and keeps the loop open until the consult note returns to the referring provider.

What is referral leakage?

Referral leakage is a referred patient who never becomes a completed visit. Another provider trusted you with their patient, the patient needed care, and somewhere between the referral and the exam room the process stopped.

For a specialty group, inbound referrals are the top of the funnel. A GI consult often leads to a colonoscopy. A cardiology consult often leads to an echo or a stress test. When a referral stalls, the practice loses the consult and everything downstream of it.

The patient loses too. Most referred patients were told by a provider they trust that they need to see a specialist. When nobody calls, many assume the referral was not urgent, or they book wherever answers the phone first. The referring office rarely hears what happened, so the next referral may go somewhere else.

  • Stuck in the fax inbox The referral arrived but was never filed, worked or entered into the referral queue.
  • Sitting in the referral queue It was entered, but no one has reached the patient.
  • No contact Calls went unanswered, or no one tried. Nuvory flags these after 7 days by default.
  • Contacted, not seen The patient was reached but never booked, or booked and cancelled. Flagged after 14 days by default.
  • Consult note not returned The patient was seen, but the referring provider never got the note, which weakens the relationship.

See which of your referrals are stalling

We will show how Nuvory tracks inbound referrals from your fax inbox and EHR orders through to a completed visit.

Why do inbound referrals stall?

Inbound referrals stall because they arrive in several places, need several pieces of information, and depend on reaching a patient who may not be expecting your call.

Most practices can count the referrals they scheduled. Few can count the ones they never touched, because those never made it into a report. The causes below are ordinary, which is why they are easy to miss.

  • Many front doors Referrals come through EHR orders, fax, phone and portals. Each lands in a different inbox.
  • Missing information No insurance card, no reason for referral, no recent notes. The referral waits while staff chase the referring office.
  • Prior authorization Some payers require a referral or authorization on file before the visit can be booked.
  • Hard-to-reach patients Wrong numbers, full voicemail and patients who do not recognize your practice's name.
  • No single owner Coordinators work the queue they can see. Once a referral leaves that queue, no one is watching it.

How does referral leakage software track a referral to completion?

Nuvory follows each inbound referral through nine checkpoints, every night, and only puts it in front of staff when it stalls.

  1. Referral receivedA referral arrives as an EHR order, an electronic referral or a fax.
  2. Referral identifiedNuvory finds it in the EHR or connected data source, including faxed referrals filed to the chart or referral queue.
  3. Scheduling activity checkedNuvory looks for contact attempts and any booked appointment for the referred service.
  4. Unresolved referral detectedIf the contact or visit window passes with nothing booked, the referral is flagged.
  5. Opportunity prioritizedEach flagged referral is ranked by estimated value, urgency and confidence, alongside the patient's other open items.
  6. Follow-up actionOne coordinator gets one task: call the patient, request missing information or contact the referring office.
  7. ScheduledThe coordinator books in the EHR as usual. Nuvory sees the appointment on its next nightly run.
  8. CompletedThe visit is matched to a completed encounter. A cancellation or no-show reopens the referral.
  9. Outcome verifiedThe loop closes when the consult note goes back to the referring provider, where that data is available.

What data does inbound referral tracking use?

Nuvory reads referral data from your EHR through FHIR R4 and bulk export, or from other connected sources where available.

Who uses referral leakage software?

Patient referral tracking touches several roles in a specialty practice.

Referral coordinators

Work stalled referrals first, with the reason each one stalled.

Schedulers

Call patients from Nuvory with verified practice numbers and book in the EHR.

Practice administrators

See conversion by location and referring practice, and where the queue is backing up.

Service-line leaders

Track referral-to-visit conversion and days to first contact over time.

What referral outcomes can you measure?

You can measure how many referrals become visits, how fast, and which referring practices need attention. Referral leakage figures in Nuvory are reported against a baseline built from about two years of your own history.

  • Referral-to-visit conversion By location, specialty and referring practice.
  • Days to first contact How long referrals wait before anyone reaches the patient.
  • Contacted but not seen Patients reached who never booked or never came in.
  • Consult notes returned How often the referring provider hears back.
  • Completed after detection Visits completed after a referral was flagged, reported as correlation with outreach, not proof of cause.

Does Nuvory replace referral management software?

No. Nuvory does not replace your referral management software or your EHR's referral queue. Your coordinators keep working referrals in the tools they use today. Nuvory shows which referrals are stalling and why, so those tools get pointed at the right patients.

This is operational inbound referral tracking, not a claims-based physician-network product. It works from the referrals your practice receives and what happened to each one. Leaders who want to see where patients go outside the organization can add Network Intelligence on the Enterprise plan, which is a leadership view, not a call list.

athenahealth is live today through FHIR R4 and bulk data APIs. Epic, eClinicalWorks, ModMed, NextGen, AdvancedMD, Practice Fusion, Veradigm and Elation Health are supported where the organization enables FHIR access. See integrations for details.

What should you evaluate in referral conversion software?

Evaluate whether the software sees every referral, including faxes, and whether it closes the loop rather than just counting.

  • Fax coverage Faxed referrals filed to the chart should be visible, not just electronic orders.
  • Configurable windows Contact and visit windows your practice can change per referral type.
  • Closed-loop referral management Tracking through the returned consult note, not just the first booking.
  • One queue per patient A referral, a recall and an open order for the same patient handled in one call through Patient Opportunity Intelligence.
  • Fit with your workflow Booking stays in the EHR, and medical referral management stays with your team. Size the gap first with the referral leakage calculator.

Questions, answered

More in our FAQ, or ask our team.

What counts as a leaked referral?

A referral that is never scheduled, or scheduled and never seen. Nuvory also keeps a referral open until the consult note goes back to the referring provider, because an unreturned note is a gap in the loop.

Can Nuvory read faxed referrals?

Yes, where faxed referrals are filed to the patient chart or a referral queue in your EHR. Coverage depends on how your practice files them, which the HealthArc team confirms during setup.

Can we change the 7-day and 14-day windows?

Yes. No contact after 7 days and not seen after 14 days are defaults. Your practice can set different windows, for example shorter ones for urgent referral types.

Is this the same as physician-network or claims-based referral analytics?

No. Nuvory tracks the inbound referrals your practice actually received and whether each became a visit. It is a work queue for your coordinators, not a market analysis of physician referral patterns.

Which plan includes Referral Intelligence?

Growth, at $299 per provider per month, which also includes Procedure, Scheduling, Care Management and Opportunity Intelligence. You can sign up online. See pricing.

What happens when a booked referral patient cancels?

The referral reopens. Nuvory sees the cancellation on its next nightly run and puts the referral back in the queue if no new appointment appears.
