Turn Overdue Patient Recalls Into Completed Care
Nuvory reads the recalls and follow-up intervals already in your EHR, checks them against completed and booked care, and gives your schedulers a ranked list of patients who are truly overdue.
What is patient recall software?
Patient recall software finds patients who are due or overdue for a follow-up visit or surveillance procedure and have nothing booked. Nuvory reads EHR recalls and care-plan intervals, compares them with visit and procedure history and booked appointments, skips anyone already scheduled inside the window, and ranks the rest so staff call the right patients first.
Why do patient recalls go overdue?
Patient recalls go overdue because the recall list in most EHRs is a list of dates, not a list of work. It shows who is due, but not who already booked, who was seen at another location, or who matters most this week.
So the list gets long, staff stop trusting it, and it gets worked only when someone has spare time. Meanwhile the patients who needed the surveillance colonoscopy or echo their provider scheduled drift months past due. Many are not avoiding care. Nobody called them.
The cost is clinical as well as financial. A surveillance interval exists because the patient's history calls for it. When it lapses, the practice loses a procedure it planned for, and the patient goes longer without care their provider recommended. Overdue patient recall is one of the quietest forms of leakage, because nothing on the schedule shows that it happened.
- Recalls set inconsistently Some providers enter EHR recalls; others write the interval in the plan of care.
- Stale lists Patients already booked or already seen still appear, so staff waste calls.
- No priority A routine visit and a lapsed surveillance procedure look the same on the list.
- No closure Once a patient is called, no one checks whether the visit actually happened.
Find Your Overdue Patient Opportunities
We will show how Nuvory would build a clean, ranked overdue patient recall list from the data already in your EHR.
How does patient recall software find overdue patients?
Nuvory finds overdue patients by comparing what was supposed to happen with what did happen, using the clinical and operational data you already have.
Where does the due date come from?
From EHR recalls where your practice keeps them, and from follow-up intervals in care plans and visit history where it does not. Your clinicians set the intervals. Nuvory does not decide when a patient should return.
How does it know care was completed?
It checks completed visits and procedures, by service and location. A patient seen at your other site for the same follow-up is not overdue.
How does it avoid calling booked patients?
Before flagging anyone, Nuvory checks for a booked appointment for the same service inside the recall window and skips the patient if one exists. If that appointment is cancelled, the patient comes back on the list.
When does a recall close?
Automatically, when the visit or procedure is completed, where data is available. Staff can also record a decline or care done elsewhere.
How does Nuvory turn a recall list into completed care?
Five steps, run every night, from a raw recall list to verified completed care.
- IdentifyFind patients due or overdue for appropriate follow-up based on recalls, care-plan intervals, visit and procedure history and booked appointments.
- PrioritizeRank them by estimated value, urgency and confidence, so a lapsed surveillance procedure comes before a routine visit. On Growth, Patient Opportunity Intelligence combines recalls with each patient's other open items.
- ActGive one scheduler one task. Staff reach the patient by phone or a connected texting tool and book in the EHR. On Growth and Enterprise, staff can also call from Nuvory with verified practice numbers.
- TrackWatch for the booking on the next nightly run, and reopen the recall if the appointment is cancelled or missed.
- VerifyClose the recall when care is completed, where data is available, and count it toward recovered value.

What does procedure recall software cover in specialty care?
Specialty practice recall software has to handle procedures and long-term follow-up, not just annual visits. Examples of what Nuvory checks:
| Specialty | Recall type | What Nuvory checks |
|---|---|---|
| Gastroenterology | Surveillance colonoscopy | Interval set after the last colonoscopy vs completed or booked procedure |
| Cardiology | Echo surveillance, HF and AFib follow-up | Interval from the care plan vs completed echo or visit |
| Nephrology | CKD follow-up | Visit interval for the patient vs last completed visit |
| Pulmonology | Lung nodule imaging, COPD follow-up | Due date vs completed imaging or visit |
| Orthopedics | Post-op follow-up | Expected post-op visit vs completed visit |
Is Nuvory automated patient recall software?
Partly, and it matters which part. Nuvory automates the identification and prioritization of overdue patients: the nightly matching, the suppression of booked patients, the ranking and the closing of completed recalls.
It does not automate clinical decisions. Clinicians set the intervals, and a clinical reviewer at your practice signs off each recall rule, starting from a HealthArc template, after spot-checking real patients. Outreach happens through your team or the tools you connect, such as your texting vendor or a connected voice agent, or calling from Nuvory on Growth and Enterprise. Reminder and texting tools reach patients; Nuvory decides which patients they should reach.
Who uses a patient recall management system?
Patient follow-up software is used by the people who fill schedules and the people who measure them.
Schedulers
Work a ranked list of overdue patients, with booked patients already removed.
Practice administrators
See overdue patients by provider and staff the queue. Views by location are on Growth.
Clinical leaders
Set intervals and sign off recall rules.
Service-line leaders
On Growth, track recall completion by service line against your baseline.
What recall outcomes can you measure?
You can measure how many overdue patients completed care after being flagged, and where the backlog sits. Nuvory builds a baseline from about two years of your history first, so you know how recall completion looked before anyone started working the list. Location and service-line views and revenue recovery reporting are part of the Growth plan.
- Overdue patients by service line The size of the backlog and where it is growing.
- Recall recovery rate Share of flagged patients who completed care, compared with your baseline.
- Completed after outreach Reported as correlation with outreach, not proof of cause.
- Open value at risk Estimated value of overdue care not yet booked.
How does it work with EHR recall management?
Nuvory works alongside EHR recall management rather than replacing it. You do not need to clean up your recall module first; Nuvory uses EHR recalls where you keep them and intervals from care plans and history where you do not.

What should you evaluate in medical recall management software?
- Booked-patient suppression If staff still call patients who are already scheduled, the list will be ignored.
- Interval sources Can it use care plans and history, not only EHR recall entries?
- Clinician control Intervals and rules set and signed off by your clinicians.
- Automatic closure Recalls close when care is completed, not when someone remembers.
- Room to grow Recall Intelligence is in Starter at $149 per provider per month; Growth adds referrals, orders, scheduling and care management.

Questions, answered
More in our FAQ, or ask our team.
Do we need to use our EHR's recall module?
No. Nuvory uses EHR recalls where you keep them and also reads follow-up intervals from care plans and visit history, so practices that track recalls inconsistently still get a usable list.
Who decides the follow-up interval?
Your clinicians. Each recall rule starts from a HealthArc template, and a clinical reviewer at your practice signs off the intervals and grace periods before it goes live.
Does Nuvory send recall reminders to patients?
Not on its own. Nuvory identifies and ranks overdue patients. You can connect your texting vendor or a voice agent to reach patients, and on Growth and Enterprise staff can call from Nuvory with verified practice numbers.
Will patients already scheduled show up on the list?
No. If a booked appointment for the same service exists inside the recall window, the patient is skipped. If it is cancelled later, they return to the list.
Which plan includes Recall Intelligence?
Starter, at $149 per provider per month, and you can sign up online. Growth, at $299, adds Referral, Procedure, Scheduling, Care Management and Opportunity Intelligence.
How is a completed recall verified?
Nuvory matches the recall to a completed visit or procedure in your data. Staff can also close a recall as done elsewhere or declined. Claims or HIE feeds, where connected on Enterprise, make matching more precise.
